CONFERENCE/TRAVEL INFORMATION

Official delegates must be present at the start of the conference at 3 p.m. on Friday, July 20 and remain at the conference hotel through noon on Sunday, July 22. After you have completed this registration form, you will be sent a confirmation email containing tips and suggestions for completing your travel arrangements.

I. Travel costs
The cost of travel to the conference should be covered by your chapter. If your chapter does not have funds immediately available to cover travel costs, there are several options. After you complete this registration form, you will receive an email confirmation with tips and strategies on arranging and paying for your travel.

If covering travel costs places an undue hardship on your chapter, you may submit a travel hardship application to help cover a portion of your costs (your chapter may be eligible for reimbursement up to $250 for air travel and up to $100 for travel by automobile). It will help us plan for the conference if we know ahead of time what chapters will be applying for hardship funds. Automobile - If you live within a few hours of Chicago, we encourage you to consider driving to the conference. We can help you connect with other chapters in your area if you are interested in carpooling. Just email us at conference@mortarboard.org for assistance.

Other travel arrangements - If you plan to travel by a ground transportation method or combination of ground transportation and automobile, please select this option.

CHAPTER SOLUTIONS WORKSHOP

Chapter Solutions Workshop (Friday, July 20; 8 a.m. - 1 p.m.)
This workshop is designed specifically for official delegates, collegiate participants and advisors from struggling chapters who are interested in intensive, hands-on problem solving. Join us for a day filled with one-on-one training and facilitation provided by Mortar Board collegiate chapter members and national leaders. 

You will spend the day developing strategies to increase your membership numbers, find an advisor and develop strength and visibility on campus. Specific ideas for fundraising, campus programming and building chapter stature are woven through this great chapter coaching experience.

There are no additional registration fees for Chapter Solutions; the only additional cost is if you plan at arrive in Chicago on Thursday and will need an additional night's accommodation. Because Chapter Solutions will start at 8 a.m. on Friday, we strongly encourage participants to arrive on Thursday. Prices are based on double-occupancy accommodations. A single-occupancy room may be requested at the participant’s expense, as noted below.

OPTIONAL MEETINGS
Every conferee has the option of joining conference committees or attending special information sessions. Participation in the conference committees requires your attendance for the meeting times listed below. Please select the committee(s) or session(s) you are interested in. You are not required to sign up for any of these optional sessions.
Credentials Committee meeting (Friday, July 20; 2 - 2:30 p.m.)
The credentials committee coordinates the operation of the business meetings throughout the weekend. Members of the committee are responsible for accounting for delegates and maintaining voting integrity.
Resolutions and Recommendations Committee meeting (Friday, July 20; 2 - 2:30 p.m.)
Resolutions and recommendations are passed at the conference each year to help guide the future development of the Society. The Resolutions and Recommendations Committee collects recommendations and resolutions from attendees and present them at the business session Sunday morning. At least one additional meeting during the conference will be arranged.
Nominations Committee meeting (Friday, July 20; 2 - 2:30 p.m.)
The nominations committee coordinates the elections for student representative to the National Council. This committee will have a key role during nominating speeches at the Friday evening business meeting.
Student Representative Orientation (Friday, July 20; 1 - 2 p.m.)
Interested in running for student representative this year?  The executive director and current National Council student representatives will provide an overview of the position and answer any questions at this mandatory orientation session for prospective candidates. All members interested in running for the student representative position must attend this orientation session or contact Executive Director Jane Hamblin (jhamblin@mortarboard.org) to set up an alternate orientation prior to the conference. Those who do not attend an orientation session may not run for a National Council position.

CHAPTER DISPLAY

Each chapter is given the opportunity to have a display at the conference either by bringing or shipping an existing display, or using a tri-fold board (provided upon arrival if reserved in advance) and materials they bring. Please indicate your selection below. Extra tri-fold boards will not be available.

ACCOMMODATION OPTIONS
By default, each conferee will be assigned a double-occupancy, nonsmoking room with another conferee of the same gender. Roommate requests are permitted. Those who choose to pay an additional fee of $65 per night will be assigned a single room. If you would like to take advantage of these accommodation options, please use the fields below.

  • Single room fee - $65/night (Conferees are required to stay at the hotel for two nights, July 20 and 21, for a total single room fee of $130; Conferees who request a single room and choose to arrive on Thursday, July 19 will be required to pay the single room nightly fee for that night as well.)

SPECIAL ACCOMMODATIONS

If you require special accommodations to help you attend this meeting, please describe your needs below and a National Office staff member will contact you by phone or email to help with any arrangements. If you have not requested special accommodations before May 16, Mortar Board reserves the right not to provide them.

ACCEPTANCE OF RESPONSIBILITY AND WAIVER OF LIABILITY/PHOTO RELEASE

1. Acceptance of responsibility

a. Official delegate. I accept the responsibility of serving as the official delegate of my chapter for the Mortar Board National Conference (“conference”).

b. Personal liability for cancellation. I understand that a reservation made in my name for the purpose of the conference represents a significant expense, and that I must fully commit to attending the conference in its entirety. I understand that, with reasonable notice, I may change my reservation from single-occupancy to double-occupancy without penalty. However, I understand that my reservations cannot otherwise be changed or cancelled without financial penalty. Therefore, if I cancel or change my plans for attending the conference once a reservation has been made for me by Mortar Board, or if I absent myself from the national conference for any reason after my arrival, I agree to reimburse Mortar Board for or pay outright:

  1. any costs for lost room nights at the conference hotel; and
  2. any other cost associated with my cancellation, change, or absence.

2. Dismissal and personal liability. If I fail to follow rules of the conference, I understand I may be dismissed from the conference at my own expense, and I agree to reimburse Mortar Board or pay outright the relevant costs for my absence.

3. Waiver of liability. I hereby release, discharge, and hold harmless Mortar Board and its staff and officers and their agents and assigns and Mortar Board’s partners, sponsors, exhibitors and their officers, agents, representatives, employees and assigns from any actions, causes of action, claims or liabilities, now existing or that may arise in the future, that are in any way related to or arise out of my participation in or travel to or from the conference.

4. Photo permission. I grant my permission for my photograph or likeness to be used for promotional purposes of Mortar Board without any expectation of prior approval or compensation.

5. Directory information. I grant my permission for my contact information to be shared with other conference participants in a printed directory made available at the conference.
